How we handle garden enquiries and information shared with The Garden Grow.

Who is responsible

The Garden Grow Maintenance Ltd is responsible for personal information you provide to us. Our company number is 15901698 and we are registered in England and Wales. Formal registered-office information is available on our company information page.

For privacy questions, email thegardengrow1@gmail.com.

When you send an enquiry

The website form can collect your name, email address, telephone number, garden postcode, the type of work, timing preferences and the message you choose to provide. We save an accepted enquiry in our private Workshop before attempting to send notification emails. We use the information to respond, assess the work, prepare quotations and make arrangements you request.

The initial website form does not accept photographs. If pictures would help, we may ask you to send them by email after contact. Project photographs or feedback are never automatically published from an enquiry.

We process information needed to take steps towards a contract at your request or carry out agreed work. We also use information where necessary for our legitimate interests in managing correspondence, resolving queries and keeping our systems secure, balanced against your rights. We may retain information to meet legal obligations.

Human verification and abuse prevention

The enquiry form uses Cloudflare Turnstile on the online site to distinguish genuine submissions from automated abuse. We also use a hidden anti-bot field and short-term rate limiting. For rate limiting, the server stores a keyed one-way value derived from the connection address for a limited period; it does not store the raw address in the enquiry record.

Anonymous website statistics

We use our own first-party website statistics to understand which public pages are visited, which page a visit started on, broad traffic source and campaign labels, coarse device type and whether a website visit resulted in an enquiry. We do not use Google Analytics, advertising pixels or these statistics to build advertising profiles.

The analytics database does not store raw IP addresses, full browser user-agent strings, names, email addresses or postcodes. To avoid creating a public analytics cookie, the server creates a short-lived one-way visit key in memory from technical request information; the stored key changes daily and cannot be used by us to recover the original connection address. Obvious automated crawlers are excluded where identifiable, and browser Do Not Track or Global Privacy Control signals disable our first-party visit tracking.

Cookies and local preferences

Our first-party visitor statistics do not set a Garden Grow analytics cookie. Turnstile may use browser information or storage needed to perform its security check. The password-protected Workshop uses a necessary security cookie for authorised staff. Choosing Pause motion stores that preference on your device so it can be respected on later visits.

Who helps us process information

Our email service is provided by Google (Gmail). Our website hosting is provided by Hetzner Online GmbH. Human verification is provided by Cloudflare Turnstile. We may share relevant information with professional advisers or authorised team members where needed to respond to you or deliver agreed work. We do not sell enquiry details.

Our website is hosted by Hetzner in the EU. Email is provided by Google and human verification by Cloudflare. These providers may process information internationally. Where information is transferred outside the UK, we use the safeguards made available under applicable UK data-protection law by the relevant provider. Contact us if you would like more information about the safeguards relevant to your enquiry.

How long we keep information

12 months after our last contact for enquiries that do not become jobs. Information needed for agreed work is kept under our separate customer-record retention policy.

We consider the purpose, applicable obligations and any unresolved matters when deciding what must be retained. Contact us to ask about information relating to you.

Your rights

Depending on the circumstances, you can request access to your personal information, correction, erasure, restriction or portability, and object to certain processing. Where we rely on consent, you may withdraw it. These rights are not absolute; we will explain when an exception applies.

Contact us using the email address above. You can also raise a concern with the UK Information Commissioner’s Office at ico.org.uk.
